Tracking equipment, vehicles, parts, and tools

The Assets module is your registry of physical things — installed equipment, fleet vehicles, stocked parts, and shared tools — and how they link to jobs and locations.

Assets: equipment, vehicles, parts, and tools

The Assets module tracks the physical things your business owns or services. It has five sections:

  • Equipment — the units you install and maintain at customer sites (HVAC units, generators, pumps). Track make, model, serial number, asset tag, condition, install date, and warranty.
  • Warehouses — your stocking locations, with sections/bins. (See Warehouses and multi-location stock.)
  • Vehicles — your fleet, which also shows up in GPS tracking.
  • Parts — consumable inventory you pull onto work orders.
  • Tools — shared equipment your techs check out.

Equipment and warranty

Open Assets → Equipment → New for a full-screen form. Beyond the basics you can record warranty details (whether it's under warranty, the expiry date, the warranty type) and service dates (last serviced, next service due) — handy for preventive maintenance planning.

Linking equipment

A piece of equipment can be linked to:

  • one or more accounts (so you know whose site it's on),
  • a warehouse (and section) if it's in stock rather than installed,
  • a vehicle if it lives on a truck.

Those links show up on the account and warehouse detail pages, so you can answer "what's installed at this customer?" or "what's in this warehouse?" instantly.

On mobile

Techs can create and edit equipment, parts, tools, vehicles, and warehouses from the mobile app (subject to their role), so the registry stays current from the field — scan a new install into the system without going back to the office.
