Managing your subscription and seats

Change plans, understand backoffice vs mobile seats, and know exactly what happens to locked modules and seats when you downgrade.

Your subscription and seats

Manage everything about your plan from Settings → Billing.

Changing plans

  • New subscription — starting a paid plan takes you through secure Stripe Checkout; you're returned to the Billing page with a confirmation once it syncs.
  • Existing subscription — upgrades and downgrades happen in place right on the Billing page. You pick the new plan and the change applies through our billing integration. (This account doesn't use the external Stripe customer portal — everything is handled inside Roldesk.)

Two kinds of seats

Your plan includes a number of backoffice users (people who log into the web app) and mobile users (technicians who use the mobile app). They're counted separately.

What happens when you downgrade

Roldesk uses a visible-but-locked model, so a downgrade never deletes your data:

  • Modules your new plan doesn't include stay visible but show a lock badge and an upgrade prompt ("available on the {Plan} plan and up"). Your records are untouched and come right back if you upgrade again.
  • Mobile seats: if a downgrade puts you over your mobile-user limit, the newest seats over the cap are locked (the affected tech sees a "seat locked" screen and is signed out of app access). Nothing is deleted, and locked seats auto-restore the moment you upgrade or free up room.

This means you can move between plans freely without losing anything — you only lose access to the extra capacity, and only until you upgrade.

Free plan

The Free plan is focused on core field execution. CRM (accounts, contacts, invoices, quotes) and some modules are Starter-and-up; on Free you can still look up an account or contact when attaching one to a work order, but managing them is a paid feature.
