Accounts and contacts
Your customer records live under CRM. There are two related pieces:
- Accounts — the company, property, or site you do work for. An account holds the service address, billing details, linked equipment, work-order history, invoices, quotes, and projects.
- Contacts — the individual people at an account (the facilities manager, the owner, accounts payable). Each contact belongs to an account.
Creating an account
CRM → Accounts → New. Give it a name, addresses (the address field auto-completes and fills city/state/zip for you), and any billing info. Once saved, the account detail page has tabs for its contacts, work orders, invoices, quotes, projects, and linked assets — one screen for the whole relationship.
Adding contacts
Open an account and add contacts to it, or go to CRM → Contacts → New and pick the account. A contact carries a name, job title, email, and phone.
Customer notifications opt-in
Each contact has two toggles that decide whether they get automatic status emails:
- Notify on dispatch — email them when a work order for their account is dispatched.
- Notify on completion — email them when the job is completed (this one includes a branded PDF of the finished work order).
These are off by default and are set by your team in the backoffice — customers never opt themselves in. See Automatic customer notifications for the full picture.
How it connects
- Assign an account to a work order so the job carries the right address and history.
- Bill an account with an invoice or send a quote.
- Group several jobs for one account under a project.
- Link equipment to an account so you always know what's installed where.
Mobile
Technicians can look up accounts and contacts on the mobile app (view + link, depending on their role) so they can attach the right customer to a job from the field.
