How to add backoffice users and mobile-app technicians, and the difference between the two.

Inviting your team

Roldesk distinguishes between two kinds of users:

  • Backoffice users — people who sign in to the web app (dispatchers, managers, accounting, owners).
  • Mobile-app users — technicians who only use the Expo mobile app to receive jobs, log time, and capture signatures from the field.

Your plan determines how many of each you can have. Free plan = 1 + 1; Professional = 5 + 15 by default. Custom limits can be set per-customer.

Adding a backoffice user

  1. Go to Settings → Users (or Team from the sidebar).
  2. Click Invite member.
  3. Enter their email, full name, and role (e.g. Dispatcher, Manager, Accountant). Roles are defined in Settings → Roles.
  4. Submit. The person receives an invite email with a link to set their password and sign in.

Adding a mobile technician

The flow is the same, but check the Mobile access box on the member record. They can sign in to the Expo app with the same credentials.

The mobile-access checkbox counts against your mobile seats limit, not the backoffice limit.

Roles and permissions

Each backoffice member gets an Access role that controls which modules they can see and what they can do inside each:

  • Owner — full access including billing and team management.
  • Dispatcher — work orders, scheduler, dispatch board.
  • Field manager — dispatch + reports + technician schedules.
  • Accountant — invoices, quotes, financials, reports.

Customise roles in Settings → Roles. You can clone an existing role and tweak the per-module checkboxes (view/create/edit/delete).

Activation status

Members can be ACTIVE, INVITED, or DISABLED. Disabled members can't sign in but their data (assigned work orders, etc.) is preserved.

Common questions

  • Can a technician become a backoffice user later? Yes — just edit their record and switch off "Mobile access" or add a backoffice role.
  • What if I exceed my seat limit? New invites fail with a clear error pointing you to upgrade. Existing members aren't kicked out.
