Importing and exporting your data

Moving to Roldesk from spreadsheets or another tool? You can bulk-load your existing records, and get your documents back out whenever you need them.

Importing with CSV

Go to Settings → Import. The import wizard walks you through it:

  1. Pick what you're importing. Supported records are — from CRM: accounts, contacts, leads, invoices, quotes; from Assets: parts, tools, vehicles, warehouses, equipment.
  2. Download the template. The wizard generates a ready-to-fill CSV whose column headers are exactly the fields for that record type. Fill it in your spreadsheet app.
  3. Upload your file. The wizard reads your columns and lets you map each one to the right field, so your headers don't have to match ours perfectly.
  4. Import. Rows are validated and created in your workspace.

Tips for a clean import:

  • Start with the template — it guarantees the headers line up.
  • Import accounts before contacts (and before invoices/quotes) so the links resolve — a contact points at an account that must already exist.
  • Do a small test file first (5–10 rows) to confirm the mapping before loading thousands.
  • Imports are rate-limited per workspace to protect your data, so very large loads may need to be split into batches.

Getting your data out

  • Invoices, quotes, and work orders each export a branded PDF — your logo, colors, and business details, in your workspace's customer-facing language and currency. Use it to send or archive any single document.
  • Customer-portal pages have a Print / save button, so a customer (or you) can save any shared document as a PDF from the browser.
  • Reports (Reports module) give you revenue, AR-aging, and inventory views you can print or save for your records.

Is there a developer API?

Not today. Roldesk doesn't yet offer a public REST API or webhooks for building your own integrations — the CSV importer above is the supported way to bulk-load data, and PDF/print exports are the way to get documents out.
