Automatic customer notifications
Roldesk can email your customer automatically at the two moments they care about most: when a technician is on the way and when the job is done. It's opt-in per contact and fully branded as your business.
How it works
- On a contact (under CRM), turn on Notify on dispatch and/or Notify on completion.
- When a work order for that contact's account moves to DISPATCHED, everyone on the account who opted into dispatch gets an email.
- When the same work order is marked COMPLETED, everyone who opted into completion gets an email — and that one has the finished work-order PDF attached.
Only contacts with the matching toggle on are emailed. If nobody opted in, nothing is sent.
Branding
The emails and the attached PDF use your organization profile — your logo, colors, and business details — plus your workspace's customer-facing language and currency. Completion PDFs are marked "Powered by Roldesk." Customers see your brand, not ours.
Who controls it
This is backoffice-only. Your team decides which contacts are notified; customers never opt themselves in or out. That keeps you in control of exactly who hears from you.
Reliability
Notifications are fire-and-forget: if an email hiccups, it never blocks or delays the actual status change on the work order. The job status is always the source of truth.
