How to choose field service software
Every field service tool claims to do everything. This checklist cuts through it so you can pick software your team will actually use — not shelf-ware you paid for and abandoned.
1. Start with your real workflow
Map how a job moves today: request → schedule → dispatch → on-site work → parts → completion → invoice → paid. The right software should make that flow faster, not force you into someone else's process.
2. Must-have features for most teams
- Scheduling & dispatch you can actually read at a glance (calendar + a board view).
- Work orders that capture tasks, parts, labor, photos, and a customer signature.
- A genuinely good mobile app — your techs live in it, so if it's clunky, adoption dies.
- Inventory across warehouses and trucks, so you stop guessing what's in stock.
- Quote → work order → invoice in one flow, so nothing is re-typed.
- A customer portal / notifications so clients see status without calling.
- Preventive maintenance if you run service contracts.
3. Questions to ask on every demo
- How long does setup really take — days or months?
- Can a technician complete a job start-to-finish on their phone, offline?
- How does billing per user work — are field techs and office staff priced the same?
- Can I import my existing customers and assets? (Ask to see the importer.)
- What happens to my data if I leave?
4. Understand the pricing model
Most tools charge per user per month, sometimes splitting office (back-office) seats from mobile (technician) seats. Watch for: setup/onboarding fees, long annual contracts, and paywalled "add-ons" for basics like invoicing. A free plan or free trial lets you validate fit before committing.
5. Red flags
- No mobile app, or a mobile app that's an afterthought
- "Call us for pricing" with no transparency
- Long implementation projects for a small team
- Every useful feature locked behind the top tier
6. Make it a real test
Pick one, load 5–10 real customers, run a handful of live jobs through it for a week, and ask your techs if they'd keep using it. That week tells you more than any feature list.
